Durbie Dash –Registration, Entry and Event Rules
The Rules detailed below apply to all entrants participating in a Durbie Dash events. Completion of an entry form (as made available by Cape Town Cycle Tour Trust) or purchase of an entry by every participant acknowledges acceptance of these Event Rules by the participant.

Registration

Entries take place via the Cape Town Cycle Tour Trust on online.entries.co.za

By utilising the entry facility and making available your information you agree that CTCTT may use your information to execute on the services provided for purposes of the Durbie Dash Event;
-
You will only be entered for the Durbie Dash Event after receipt of your payment. Important: You may select “Pay later” during the registration process, however this does not mean that you have an entry, you will first have to pay and be in receipt of our confirmation in writing. We suggest you pay to ensure you have an entry for the day

Substitution: Any substitution of a participant will result in an administration fee which will be communicated to the participant before the acceptance of any substitution. Durbie Dash reserves the right to determine a specific period that is allowed for substitution.

E-bikes are only allowed in events with E-Bike categories as stated. (Minimum age is 19 years)

All the cycling events are all sanctioned by Cycling South Africa (CSA) and all cycling participants, who are not a member of Cycling SA, will be required to purchase a day license which will be confirmed during the registration process.

The MTB and gravel events will make use of the existing permanent RaceTec bike boards. If participants do not own such a board already, then these boards can be purchased online and will be prepacked and linked to the riders, complete with a label, cable ties, event sticker and seeding sticker. The price is R140 Vat included.;

The Gravel event will be conducting ito REGULATIONS APPLICABLE TO GRAVEL BIKE COMPETITION – XCG.

The minimum age for the Durbie Dash Gravel 50 miler event is 19 years on December 31st of the current year, 15 years old for the 31km and 8 years for the 12km.

The Road Race Numbers will be supplied by Finish Time and permanent Finish Time Bike boards (supplied to all CTCTT riders in 2024) will be used. If participants do not own such a bike board already, these boards can be purchased online for R140 (VAT included) and will be prepacked and linked to the rider, complete with a rubber clamp, label, cable ties, event sticker, etc. The Racetec timing chip(transponder) will no longer be applicable.

The Trail Run timing is managed by Finish Time. Race numbers will be issued at registration.

Cancellation
-
The Durbie Dash will only consider a refund of 80% of the entry fee if a participant can provide proof of a positive Covid-19 test not older than 72 hours.

The following options will apply if the event is cancelled due to Covid-19 Regulations & restrictions:

Paid entrants in the event will be able to transfer their entry fee to the next opportunity when the DURBIE DASH will be presented, or
-
Paid entrants in the event will be able to donate their entry fee to the Durbanville High School as a donation, or • Paid entrants will be refunded 80% of their respective entry fees in the event

Cancellations are non-refundable in all circumstances. This includes all elements of COVID-19 (or any other pandemic), including any riders that might be affected by a local or national lockdown that is in place.

Cancellation by Durbie Dash
-
In all circumstances the Durbie Dash will endeavour to make sure the Event(s) go ahead as planned. The Durbie Dash events will proceed regardless of bad weather and will only be cancelled, re-routed or stopped for reasons of safety. The organisers reserve the right to cancel the event or parts of the event resulting from any act of God including extreme weather conditions, strike, war, riots, fire, flooding, legislation, insurrection, sanctions beyond reasonable control of the organisers of The Durbie Dash (any such event called “force majeure”).

In such cases, any consequences with regards refunds or rescheduling will be issued at the discretion of the event organizers.

Entry amendments

Names can be changed up to [20] days prior to the event commencing.

RIDING RULES
-
The participant is fully responsible for his/her actions whilst attending the event. This includes the event centre and during the ride itself. The Durbie Dash does not accept responsibility for the actions of the participant nor the consequences of such actions. (see the Durbie Dash Indemnity & Limitation of Liability)

Each participant, upon signing the registration form or clicking on “I agree” or ticking the box that reads “I accept”, agrees that he/she is (or the minor on behalf the parent or guardian has entered) physically and mentally capable of riding (or running) the distance they have chosen. If, during the event, they decide to change their route and distance, then all consequences of this action are theirs.

The Event Registration Form must be completed by a person aged 18 years or over. Evidence of age may be requested. If an event is open to riders under 18 parental consent will be required both upon entry and also at the event.

Each participant accepts full responsibility for any fees or costs incurred or arising from the need for repatriation if something happens to the participant during the event.

It is mandatory that all riders wear a safety approved cycling helmet complying with latest standards. No Helmet no Ride. Any rider not wearing a helmet will not be allowed to ride. The Durbie Dash reserves the right to refuse entry to the event to anyone with inappropriate equipment or clothing.

The participant confirms that the cycle/bike they are riding for the event and all of their equipment is of a suitable standard and state of road worthiness. In particular, the ability to complete long distance, and over very hilly terrain on the event.

During the event there will be warning signs at appropriate points on roads and junctions. Absence of these signs does not signal there are no dangers approaching and it is the individual rider’s responsibility to make a decision regarding whether to ride a section or not. The marking of the route does not necessarily indicate that the trail or road is rideable and the participant is deemed to make their own decision about whether to proceed on bike, foot or not at all.

Any marked route is shown for guidance only and the Durbie Dash do not insist that you use the route shown. Therefore, if the rider chooses to ride a section, it is entirely their own choice. If they choose a different route to avoid obstacles or sections they decide are beyond their capabilities, they do so entirely at their own risk.

You must obey all road rules and local laws. Please be aware of your fellow cyclists and any other traffic. Please always indicate your intention to stop or change direction.

The Durbie Dash reserves the right to alter the published route at any time, including shortening or lengthening the routes. Participants do not have the right to claim a refund if the route is altered. All route details given, including but not limited to distances and amount of climbing are estimates.

Each participant will be fully responsible for any fees or costs incurred or arising from an accident either involving or caused by the rider. This includes, but is not exclusive to, fees from Police, Air Ambulance, Fire and Rescue and the Ambulance service. If the situation arises that you are not capable of making the decision to call the emergency services, the rider agrees that a member of the Durbie Dash events team or a member of the public may call for them. In this situation, the rider still accepts the costs and consequences of such actions.

The Participant agrees to receive pre and post event communications from the Durbie Dash organisers and/or its appointed service provider’s email. Emails can be unsubscribed, but doing so prevent all future event updates being sent.

Water scarcity is becoming an increasing threat because of climate change impacts and increasing water demand. The Organisers will do everything possible to conserve water during the event.

TRAIL RUN RULES

Every participant shall run carefully and with due regard to the safety of other runners and other trail users.

Every participant must comply with the instructions of a marshal, official and/or a traffic officer.
-
Every participant shall provide information requested by any marshal immediately.
-
All runners must at all times display his/her race number legibly in front on clothes.
-
Every runner shall identify him/herself and give his/her address on request to a marshal or any other participant requesting such information after a race incident.
-
Runners may not use a personal music system or a communication device whilst taking part in the event.
-
A participant may not start or attempt to start before his/her designated start.
-
A participant shall provide reasonable assistance to any other participant involved in an accident while participating in the event.
-
Children under 10 must be accompanied by an adult at all times.

The winners will be judged as those who cross the finish line first, having completed the entire route, irrespective of time.

It is the participants responsibility to ensure they carry enough liquid on route, a windshield jacket and basic emergency equipment and emergency contact number.

GENERAL RULES that apply to Riding and Trail Running participants

Each participant agrees to assign and grant the right and permission for the Durbie Dash to use and publish any photographs/film/video/electronic representations and/or sound recordings of the participant on any Durbie Dash event. The participant hereby releases the Durbie Dash from any and all liability from such use and promotion. The participant hereby authorises the reproduction, sale, copyright, exhibit, broadcast, electronic storage and/or distribution of said photographs/film/video tapes/electronic representations and/or sound recordings without limitation at the discretion of the Durbie Dash. The participant specifically waives any right to any compensation they may have for appearing in any of the photographs/film/video/electronic representations and/or sound recordings of the participant at a Durbie Dash event.

Payments are made using an approved third party secure payment system. The Durbie Dash does not hold any payment details from any payment transaction.

We require you to register your Personal Information in order to enter the Durbie Dash Event so we can contact you should there be a problem with your order. Please ensure you check details provided for accuracy so we can ensure effective communications with you.

A participant shall not ride or run with another person’s number or timing identification.
-
A participant shall not use foul or offensive language to his/her fellow riders or runners or to any marshal or volunteer.

A participant shall not dispose of any litter along the trail or course except in refuse bins (for the runners).

Participants must attend prize giving, or they will forfeit their prize(s). Also, please note, to qualify for category prizes there must be more than 5 entrants within that specific category.

In case of dispute, the organisers reserve the right not to present any prizes.

As this is a fun event, the organisers further retain the right not to enter into a dispute of a competitive nature.
